How to get access to a client's Webflow site

Join a client's Webflow Workspace as a free Agency or Freelancer guest: which role to ask for, who pays for what, and how to hand the site back.

5 min readReviewed October 2026

Dana at Harbor Fitness has hired Northside Studio to redesign her Webflow site, and Theo needs to get in. He doesn't need her password. Webflow lets Dana invite his whole agency into her Workspace as a guest, at no cost to her, while the site, its hosting plan and the billing stay in her name. Theo and his team sign in as themselves, and Dana can end it all in a few clicks when the project wraps up.

Menu names below come from Webflow's Help Center at the time of writing.

Get Set Keys sends your client one link for Webflow, with your email and the right role already filled in, and checks each step is done.

Guests, members and client seats

Everyone who works on a Webflow site needs a seat in its Workspace. Three kinds matter for agency work:

  • Agency or Freelancer guests. Webflow built the guest role for clients who hire outside teams. Your agency joins Dana's Workspace and works on the sites she gives you, but can't open her General, Team, Plans or Billing settings. It's free for Dana, and your agency needs a Freelancer or Agency Workspace plan.
  • Workspace members. Members fill seats on Dana's own plan: a paid Full seat for design roles, a paid Limited seat for Marketer or Content editor, or a free Reviewer seat. They suit her own staff.
  • Client seats. These work the other way round. When a site lives in your agency Workspace, you can invite Dana to it as a Marketer, Content editor or Reviewer.

Older instructions that mention the Editor are out of date: Webflow retired the legacy Editor in 2026, and everyone now signs in with a seat and a role.

For work on a client's own site, the guest route is usually the best fit. Dana keeps everything in her name and pays nothing extra, and your team keeps its own logins.

Which role to ask for

When Dana invites you, she picks the Allowed roles your teammates can take on her sites. Webflow's default site role for a guest is Site manager, the widest of them, so agree on the role before she sends the invite.

Site role What it can do Good for agencies?
Site manager Everything a Designer can, plus site settings, backups, the Site plan and its billing, and moving the site out of the Workspace Only if you also run the hosting
Designer Every Designer feature, including custom code, Apps and shared Libraries Yes, for most builds
Marketer Builds and edits pages from existing components Yes, for landing pages
Content editor Edits text, images and Collection items Yes, after launch
Reviewer Views and comments For sign-off only

Designer fits most builds: it covers the whole Designer and leaves the plan, the billing and the power to move the site with Dana. Save Site manager for agencies that look after hosting and billing for the client. After launch, Content editor lets you keep updating copy and Collections without touching the design.

On Growth and Agency Workspace plans, Dana can also decide whether your team can publish, and whether she approves each teammate you bring in.

What Dana clicks

Only an owner or admin of Dana's Workspace can invite a guest, and only an owner or admin of your agency Workspace can accept, so give her that person's email.

  1. In her Webflow Dashboard, go to Team > Users > Agency or Freelancer Guests.
  2. Click Invite guest and enter your email address.
  3. Under Allowed roles, choose the roles your team can use, such as Designer.
  4. If her plan shows them, set Can publish and Require approval, and choose which sites you can open.
  5. Click Invite.
Where to click
Webflow DashboardTeamUsersAgency or Freelancer GuestsInvite guestAllowed roles: DesignerInvite

On your side, click Accept invitation in the email, choose your agency Workspace, pick the teammates who need access and their roles, then click Join Workspace. The roles each teammate can take also depend on their seat in your own Workspace. Full steps: Webflow access, step by step.

Prefer to start from your side? In your Dashboard, go to Client management > Add client > Request guest access, add Dana's details, choose teammates and their site roles, and click Send request. Dana reviews it in her Dashboard, can still adjust roles and permissions, and clicks Accept request (Webflow).

Who pays for what

  • Guests are free for Dana. Guest access costs her nothing, and you can bring up to five teammates into her Workspace.
  • Your agency pays for its own plan. Joining as a guest needs a Freelancer or Agency Workspace plan on your side.
  • Members cost seats. If Dana adds you as a Workspace member instead, you fill a seat on her plan. The guest route avoids that cost.
  • Hosting follows the Workspace. Each Workspace has one card on file for its plans, Site plans, seats and add-ons. With the site in Dana's Workspace, hosting is on her card from day one.

Ownership follows the Workspace too. Webflow treats a site as owned by the Workspace it's in, and suggests clients and agencies set out ownership, billing and access in their own agreement.

If the site lives in your Workspace

Some agencies build in their own Workspace and hand over at launch. On Freelancer and Agency Workspace plans, Webflow supports that too:

  1. Let Dana pay while you build. Under Site settings > Plans, choose Charge to client. Dana pays the Site plan and add-ons directly while the site stays with you (client payments).
  2. Transfer at launch. In Site settings, click the Transfer icon, enter Dana's email and click Transfer. Sites on client payments use Billing > Transfer site > Send transfer request instead. Dana's Workspace can't be an Enterprise Workspace.
  3. Dana accepts. She signs in, adds her card and reconnects any third-party apps. The site arrives with its Site plan and custom domains, with no downtime.
  4. Redo what doesn't move. Form notification settings and comments stay behind, and reCAPTCHA keys are reset. Ecommerce stores have extra rules, including a new Ecommerce plan for the new owner.

If the work carries on after launch, Dana invites you back as a guest with the steps above.

How it goes
  1. Build in the Northside Studio Workspace
  2. Dana pays the Site plan through Charge to client
  3. Transfer the site from Site settings at launch
  4. Dana accepts and adds her card
  5. Dana invites Northside Studio back as a guest if work continues

Removing access when the project ends

Dana removes your whole agency in one go:

  1. Go to Team > Users > Agency or Freelancer Guests.
  2. Click the three dots next to the Northside Studio guest Workspace.
  3. Click Remove from Workspace, then Remove.

Everyone from your agency loses access to her Workspace and its sites. To remove one person, she opens your guest Workspace in the same list and uses the three dots next to their name. An invite that's still pending can be withdrawn with Cancel guest invite. You can also leave yourself: in your Dashboard, go to Client management > Client Workspaces, click the Options icon next to Dana's Workspace and choose Leave Workspace. For the rest of the wrap-up, see the end-of-project handover checklist.

Checklist
  • Transfer any site still in the Northside Studio Workspace
  • Confirm the Site plan is on Dana's card
  • Set up form notifications again after a transfer
  • Remove the Northside Studio guest Workspace
  • Cancel any pending guest invites

Doing this for every client?

Get Set Keys gives each client one link that walks them through the Webflow guest invite, with your email and role already filled in, and checks each step as it's done. The same link covers their domain, hosting, Stripe and other platforms, and Porter, the setup helper on every link, answers their questions straight away and passes anything it can't answer to you. Get Set Keys launches in November 2026, and you can reserve a founding place now.
